Audit evidence and procedures

Audit evidence and procedures organise documents, versions and activity associations for quality teams and review owners. Jovimed supports dossier preparation while designated people examine relevance and completeness before use.

Configuration, integrations and availability are discussed in your demonstration.

CAPABILITIES

Audit readiness starts during daily work.

Evidence is collected in the workflow, not searched for in a rush before inspection.

Action log

Keep who created, changed, approved or closed an important action. A recorded action gains its activity context and relevant owner so a later examination can begin with a specific question.

Inspection files

Group evidence by topic, department, period, risk or obligation. The dossier period and purpose are explicit; selected documents can be examined before they are used in an internal review discussion.

Document versions

Connect revised procedures to date, reason for change and relevant approval. A new version retains the reason for change and required approval without making the previous version appear to be current.

Cross-module traceability

Link the record, stock item, equipment and training that support the same evidence. Associations use identifiers and verifiable sources so a record is not accidentally connected to a different activity or requirement.

Controlled export

Prepare packages for internal review, audit or management meetings. The owner defines extraction content and recipients, examining documents and access rights before the resulting package is used.

Gap signals

Highlight incomplete evidence, missing approvals or periods without records. An observation identifies expected evidence and its preparer; closure records examination of the response rather than simply its receipt.

IN PRACTICEInternal audit preparation

IN PRACTICE

Inspection does not start with a manual search.

Before an audit, the owner sees connected evidence and gaps that need completion. Before using the dossier, the owner examines the period and selected documents. If a file concerns another activity or an outdated version, an observation records the required addition. The person preparing the response can see the specific question, while the reviewer retains the explanation for accepting the revised document in the internal review context.

  1. Choose the topic or department under review.

  2. Jovimed brings together records, documents, approvals and deadlines.

  3. The team completes gaps and keeps remediation history.

WHAT THE TEAM GAINS

The audit relies on documented activity, not manual reconstruction.

RECORDS & TRACEABILITY

Clear and reviewable audit trails.

The system creates an operational memory for actions, approvals and documents. During internal review, the recipient needs to see where each document comes from and which version was examined. Keeping evidence separate from subsequent comments retains context. The hospital defines retention, access and distribution rules appropriate to the purpose of the review rather than assuming one dossier suits every enquiry.

BEFORE YOUR DEMONSTRATION

Useful questions.

Who reviews a dossier before it is used?

The hospital’s designated team examines the included documents, period and relationship to the review objective. Jovimed can organise a package from available records, but a technically prepared dossier still needs its owner’s examination. Missing documents, outdated versions and open observations remain relevant information for that assessment.

How are document changes followed?

Relevant versions and actions retain the author, time and review context in the agreed configuration. Staff can distinguish the initial document from a later addition and consult associated approvals. Journal format and recorded information are clarified during a demonstration; operational history does not replace the original document or the hospital’s retention rules.

What happens when evidence is missing?

An observation can be associated with the requirement and the person preparing additional information. The owner specifies what is needed and examines the response before closure. The dossier should distinguish a sent request from reviewed evidence so attaching a file alone is not treated as resolving the observation.
